Airport Accessibility for Elderly Travelers: KCI and Beyond
By KC Mobility Scooter Rentals · · Updated
Airport accessibility for elderly travelers is well-handled in theory and unevenly handled in practice. Every major US airport, including Kansas City International (KCI/MCI), provides free wheelchair assistance. The variance is in coordination — when the assistance is requested, what gets communicated to the airline, and how the curb-to-gate (or gate-to-baggage) handoff happens.
Here’s how to do it well, with a Kansas City focus.
The short answer
Request wheelchair assistance at booking through the airline’s “special assistance” flow. Confirm 48 hours before the flight. At KCI, assistance meets the traveler at curbside (or at the airline desk) and pushes them all the way to the gate. Same in reverse on arrival — assistance meets the flight, helps with deplaning, and pushes to baggage claim or curbside pickup. Rental equipment can be delivered directly to KCI for use from arrival; coordinate with the rental company on timing.
Wheelchair assistance — how it actually works
Every major US airline offers free wheelchair assistance. Specifics vary slightly by airline but the general pattern:
At booking. Each airline’s booking flow has a “special assistance” or “accessibility” section. Specify wheelchair assistance, the type needed (manual chair pushed by attendant, or motorized cart), and any specific notes (cognitive issues, language preferences, specific disability accommodations). Call the airline’s special-assistance line if the online booking flow is unclear.
Confirm 48 hours before the flight. Airlines coordinate special-assistance requests but the request can fall through if not confirmed. A short call to the airline’s special-assistance line two days before the flight ensures the request is on file at both the departure and arrival airports.
At departure. Arrive 60–90 minutes earlier than usual. At curbside check-in, the attendant flagged for your assistance request will be available; if not, ask at the airline ticket counter. Wheelchair attendants check in your bags, get the boarding pass, take the traveler through security, and push to the gate. They wait at the gate until boarding starts.
Boarding. Special-assistance passengers board first. The attendant typically assists onto the plane through the jet bridge.
At arrival. A wheelchair attendant meets the flight at the gate after deplaning. Pushes the traveler to baggage claim or to the curbside pickup point. Most airlines coordinate this without additional notice, but a confirmation call before your trip helps ensure it lands.
Tipping. Wheelchair attendants are typically tipped — $5–10 per leg of the trip is standard, more for longer assistance or particularly attentive service.
KCI specifics
Kansas City International Airport (KCI/MCI) opened a new single-terminal facility in 2023, replacing the older three-terminal layout. The new airport is more accessible than the old one in most respects, though there are KCI-specific things worth knowing.
Distances at KCI. The new terminal is large but linear. From security to the farthest gate is roughly 1,000–1,500 feet — wheelchair-attendant pushing distance is real. Plan for a 15–20 minute push from security to a far gate.
Curbside layout. Standard arrival/departure curbside layout with accessible drop-off. Wheelchair attendants meet at curbside on request.
Rideshare pickup. Uber and Lyft pickup is at designated curbside zones; rideshare apps direct the rider to the right pickup point. UberWAV (wheelchair-accessible vehicle) availability is limited at KCI; book in advance or expect a wait. For wheelchair users who can transfer to a sedan, standard rideshare works.
Rental car at KCI. All major rental car companies are at the airport’s consolidated rental car facility, accessed by a short shuttle ride from the terminal. Standard rental cars fit folded transport chairs and lightweight folding wheelchairs in the trunk; SUVs and minivans handle full-size manual wheelchairs and most mid-size mobility scooters. Confirm vehicle class with the rental company before assuming.
Wheelchair check-in / gate-check. All major US airlines accept personal wheelchairs and mobility scooters as gate-checked items at no charge. Lithium battery rules apply for some scooter models — confirm with the airline’s medical-equipment desk in advance.
Equipment options for the airport-to-destination transfer
Three patterns work for elderly travelers arriving at KCI with mobility needs:
Pattern 1: Use airline wheelchair assistance plus rental equipment delivered to the hotel. The traveler uses airline-provided assistance from the gate to baggage claim or curbside, transfers to a rideshare or family vehicle, arrives at the hotel where the rental equipment is already delivered. This is the standard pattern for tourism trips.
Pattern 2: Use airline wheelchair assistance plus rental equipment delivered to KCI directly. For travelers with significant mobility needs who want their own equipment from the moment of arrival, we coordinate delivery directly to KCI’s baggage claim or curbside pickup zone. The airline’s assistance brings the traveler to the meeting point; our delivery is staged there. The traveler transfers to their rental device and is independent from arrival.
Pattern 3: Bring personal mobility equipment (cane, transport chair, lightweight folding wheelchair). For travelers with their own device, gate-check the equipment for the flight and use it from arrival. Personal devices are free as gate-checked baggage. Mobility scooters can be gate-checked but are bulkier and slightly more failure-prone in transit.
For most elderly travelers visiting KC, Pattern 1 is the cleanest. Airline assistance handles the airport leg; rental equipment handles the destination. See traveling with an elderly parent for the trip-type playbook and best mobility scooter for travel for class picks.
Common mistakes
Not requesting assistance at booking. Day-of requests usually work but coordination is tighter and the wait can be longer. Booking-time request is the easier path.
Underestimating airport distances. Even a “we can walk it” senior is often surprised by KCI’s gate-to-curbside distance. Plan for assistance unless the senior is genuinely unimpeded.
Forgetting the hotel-side coordination. Wheelchair assistance handles the airport-side; rideshare or rental car handles the hotel-side. Both need to work. Rideshare to a hotel for an elderly traveler with mobility limits is straightforward but requires the senior to transfer to a sedan seat — confirm this is feasible.
Tight connections. Special-assistance passengers don’t always have a wheelchair attendant available the second they need one. Tight connections (under 1 hour) at any airport are risky for elderly travelers. Book longer connections.
Bringing personal equipment that gets damaged in transit. Mobility scooters specifically are at higher damage risk in checked baggage. For one-time KC trips, renting at the destination is almost always cleaner than flying with a scooter.
Ignoring the trip’s distance after arrival. A traveler can be wheeled to the curb at KCI and then face a multi-block walk from the parked car to the hotel lobby. Plan the post-airport portion of the trip with the same care as the airport portion.
Equipment recommendations for elderly air travelers
For most elderly KC visitors:
- Single-event trip (wedding, funeral, graduation): transport chair delivered to hotel. Folds for trunk, easy on companions, fast setup.
- Multi-day tourism: mobility scooter delivered to hotel before check-in, if the senior can operate one. Otherwise manual wheelchair (lightweight) or transport chair.
- Convention attendance: mobility scooter, mid-size or full-size depending on weight rating needs.
- Frail traveler: transport chair plus wheelchair assistance at the airport. Simplest combination.
- Heavier traveler: bariatric mobility scooter or bariatric manual wheelchair.
