Two ways to offer mobility at your event

Most hosts pick one of two arrangements — a free option that takes nothing but a few links, or a staffed on-site booth for larger shows.

Off-site delivery — free to your organization. Attendees book directly through our reservation flow and we deliver to their hotel, then pick up at the end. There's no cost to you and no rental paperwork for your staff — you simply add our booking links to your accessibility communications (detailed below). Attendees pay us directly at our published rates. It's the right fit for most events that want a reliable, zero-cost accessibility option to point attendees toward.

On-site rental booth — staffed at your venue. For larger or multi-day shows, we staff a KC Mobility booth on your show floor so attendees can rent on the spot — including the day-two walk-up who didn't plan ahead. You provide the booth space and a daily labor stipend to cover staffing, typically around $400 per day. Rental fees are your call: cover them for your attendees at a discounted group rate, or let attendees book and pay right at the booth. Either way, we handle the equipment, the swaps, and the pickups.

Day-of fleet capacity

We plan inventory around two capacity targets: pre-booked rentals (usually 60% of show-day fleet), and day-of flex (40% of fleet held for same-day walk-ups). For large shows that span multiple days, we also rebalance overnight — scooters that were delivered day one but aren't being used by noon day two get redeployed to new requests. That means we can absorb a surprise spike on day-two afternoon without telling anyone "sorry, we're sold out."
