Large outdoor events — festivals, block parties, public celebrations — bring out attendees who wouldn't otherwise make the trip: older adults, people with mobility limitations, families pushing a stroller and helping a grandparent at the same time. Without an easy way to rent a scooter or wheelchair on-site, some of them leave early, and some don't come at all. An accessibility station gives them a real option, right where they need it, without your team having to research, vet, or pay a mobility-equipment vendor.

How it works

We bring the equipment and staff it ourselves, for free. Attendees who need a scooter or wheelchair rent directly from us at the station, at our standard published rates — the same transaction as any KC Mobility rental, just happening on your event grounds instead of at delivery to a home or hotel. All we ask from you is roughly a 10x20 space and two outlets for battery charging, typically set up near accessible parking and out of the way of the main event flow. There's no staffing cost, no booth fee, and nothing added to your event budget. The one thing we're not able to do is pay for a vendor spot, since we're already providing the equipment and staffing at no cost to your event.

We ran an on-site accessibility station just like this at KC PrideFest — attendees who needed a scooter or wheelchair for the day rented directly from our station on the festival grounds. That's the model this page describes: not a pilot idea, something we've actually staffed and run at a Kansas City event.

We've also delivered mobility scooters and wheelchairs directly to attendees — without an on-site station — at conventions including the Elks National Convention, the UnidosUS Annual Conference, the United Church of Christ General Synod, the Deaf Seniors of America Annual Conference, and the Southern Baptist Convention. Is an on-site station the right fit for your event?

It tends to work best for single-site, single-day (or multi-day-in-one-location) public events with steady foot traffic — festivals, fairs, outdoor celebrations, community days — where attendees are moving around a fixed footprint rather than commuting between a hotel and a session room. If your event is spread across multiple host hotels or spans several days of registered sessions, direct attendee-hotel delivery is usually the better model; we can talk through which fits once we know your event's shape.
