Group-booking workflow

For PRA-coordinated events:

  1. Event scoping call. PRA contacts us with the event dates, host hotel, estimated mobility-equipment count, and the billing arrangement. We lock inventory for the event week.
  2. Pre-event staging. All scooters delivered to the host hotel’s bell stand the day before event start. Each unit labeled to the assigned attendee.
  3. During-event support. Dedicated local phone for any service questions, swaps, or battery issues. We’re on-call for the full event week.
  4. Post-event pickup. We collect from the host hotel after attendees check out. PRA’s onsite team handles nothing beyond pointing us to the equipment.
  5. Single-invoice billing. Invoice back to the event sponsor with attendee-level itemization for internal expense allocation.

Group event pricing

5+ scooters at a single coordinated event qualifies for 10-15% off standard rates. Familiarization equipment and event-week dedicated support included. Larger volumes negotiated.

Multi-venue movement

Most PRA events involve cross-KC movement across the event window — hotels, Bartle Hall, Plaza dinners, off-site cultural activities. The rental is window-based; the same equipment travels with the attendee everywhere. No venue restrictions.

DMC referral structure

Standard 10-15% commission on bookings sourced through PRA. Disclosed openly to the event sponsor. Settlement after event closes.

Pricing

PRA's incentive and convention programs often span multiple KC venues across the event week — hotels, Bartle Hall, the Plaza, Crown Center, Power & Light, off-site dinners. The rental is event-window-based, so the same equipment travels with the attendee across all venues. We don't restrict where the scooter goes.
End-of-event logistics?
We pick up from the host hotel front desk after attendees check out. No friction for PRA's onsite event team.

Common. International executives traveling for incentive trips often include older spouses or business partners. Same workflow; we handle multi-language coordination through the principal's representative.
