Veteran organizations run more group events than almost any other community group we work with — post meetings, department and district conventions, reunions, Memorial Day and Veterans Day ceremonies, funeral honors details, fundraisers, and anniversary observances. Every one of them can involve members or family who’d benefit from mobility equipment for the day, and coordinating that one attendee at a time gets unwieldy fast. This page is for the officer, event chair, or planner handling that logistics on the organization’s behalf.

How a group reservation actually works

You tell us the event date, the location, and a rough headcount of attendees who might need equipment — it doesn’t need to be exact. We confirm which models fit the venue and schedule, work out delivery and pickup timing, and send a single invoice to whatever contact your treasurer or event chair designates. Individual attendees don’t need to book separately or pay out of pocket; the organization handles it as one line item, the same way you’d budget for any other event expense.

For recurring events — an annual convention, a standing Memorial Day ceremony — we can also set up a simpler repeat process so each year’s booking doesn’t start from scratch.

The kinds of events we support most often

Reunions and post/chapter anniversaries, where members who served together decades ago are gathering again and mobility needs have changed since the last time everyone was in the same room.

State and district conventions, which bring members in from across Kansas and Missouri for multi-day meetings, often based out of a single convention hotel. Memorial Day and Veterans Day ceremonies, where attendance can be significant and the ceremony itself often runs longer than a typical event, on your feet, at a monument or cemetery site.

Funeral honors details and memorial services, where dignity and reliability matter more than almost anywhere else. If your organization provides honor guard or funeral honors support and a member of the detail or an attending family needs mobility equipment, we treat these bookings with the same quiet, dependable handling we’d want if it were our own family.

Fundraisers and community events hosted by a post or chapter, where the goal is simply making sure every member who wants to attend, can.

Delivery: hotels and residences, not the venue itself

For any event based at a hotel — a convention, a reunion banquet — we deliver to the hotel and coordinate with the front desk or bell stand, not to the event venue directly. Convention centers, banquet halls, and ceremony sites generally aren’t set up to receive or store individual rental equipment, and a hotel handoff is simply more reliable. For ceremonies at a cemetery, monument, or outdoor site with no hotel component, talk to us about the specific logistics — we’ve coordinated deliveries to residences and staging points before and can usually make it work.

Pricing stays the same, per unit

We don’t have a special rate for organizations, and we’re not going to pretend a group booking gets you a discount that individuals don’t — it doesn’t. What a group reservation gets you is convenience: one invoice, one point of contact, and equipment coordinated for everyone who needs it instead of a dozen separate bookings.

How does a group reservation work for a post, chapter, or veteran organization?

How far in advance should our organization reserve equipment for an event?
Two to three weeks is comfortable for most post and chapter events. For a larger reunion, a state or district convention, or an event during a busy Kansas City weekend, four weeks gives us the most flexibility to match your headcount.
Can equipment be delivered to a hotel hosting our reunion or convention, or to the venue itself?
We deliver to hotels and residences, not to convention venues or event halls directly — venue loading docks and storage aren't built for individual rental handoffs, and a hotel is a far more reliable pickup point for attendees. If your event is based at a hotel, we coordinate directly with the front desk or bell stand.
Do you offer pricing for veteran organizations that's different from individual rentals?
No — we don't run a separate discount tier for organizations any more than we do for individual veterans. Every reservation uses the same published per-unit rate; a group reservation simply consolidates multiple units onto one invoice for easier billing.
Can we reserve equipment for a Memorial Day or Veterans Day ceremony?
Yes. These are some of the most common events we support — tell us the ceremony location and expected attendance, and we'll plan delivery and pickup around the day's schedule.
What if our organization needs equipment for a multi-day convention or district meeting?
